How It Works — 5 Steps

  1. Clean and structure the data — Take the client's raw certification export and organize it into a consistent format the CRM can read.
  2. Set up the tracking fields — Create dedicated fields in the CRM so every certification and expiration date has a home.
  3. Import and auto-classify — Load the data in and run an automated rule that assigns each caregiver a status — Compliant, Expiring Soon (30 / 7 / 3 days), or Non-Compliant.
  4. Build the live dashboard — An automation pulls the latest data, refreshes it daily on its own, and displays it as a color-coded dashboard with charts and status tiers.
  5. Embed it where the team already works — The finished dashboard is securely embedded directly inside the CRM — no extra logins, no separate tool to check.

The problem

Home care agencies live and die by compliance. Every caregiver carries a stack of credentials — CPR, TB test, professional license, first aid — and each one expires on its own schedule. This agency tracked all of it in spreadsheets that someone had to remember to check.

They found out a certification had lapsed the hard way: during an audit, after the caregiver had already worked shifts while non-compliant.

What I built

A compliance dashboard that reads the agency's existing caregiver records and turns them into a single screen the office staff actually checks:

  • Status buckets — every caregiver is classified as Compliant, Expiring (30 / 7 / 3 days), or Non-Compliant, recomputed automatically every day.
  • Color-coded badges — green, amber, red. A scheduler can see risk at a glance without reading a single date.
  • Expiration charts — a live breakdown of where the roster stands, so the administrator can report compliance posture to owners in one screenshot.
  • Sortable roster table — filter to "who expires this week" in one click.

Under the hood

The production system reads caregiver records from the agency's existing Google Sheets, recomputes compliance status on a daily trigger via Google Apps Script, and serves the dashboard through a Cloudflare Worker so the office can open it like any website — no spreadsheet access required. Status thresholds (30/7/3 days) are configurable per credential type.
